This will never be easy!
Consider the following conversation between a Jamaican Hare and the then Hash Master who was about to set a hash:

“Have you got any advice about organizing the food? You seem to be one of the few people that can do it successfully. I’m not good at getting the numbers right. Nobody confirms food, but everybody eats. I bet loads of people will come. I have no idea how much it should cost either. Please can you help me negotiate with the caterers.”
“OK here is “THE WISDOM OF THE AGES”, Distilled somewhat, like WHITE RUM!”
GIVEN:
a) There being no way you can ever know how many are coming!
b) Meal cost $500 in February 2011
SOLUTION:
Prepare for 36.666* hashers!
RATIONALE:
a) 36.666* people is as low as we ever get.
b) 36.666* x $500 = $18,333.33!
c) $18,333.33 = A LOT OF CHICKEN TO CURRY, AND RICE IS CHEAP!
NEGOTIATION: *DO NOT OFFER THEM $500 PER PERSON!
– OFFER them $250 per person, and be prepared to settle for $350
– TELL them that THE HASH CHARGES $500 BUT WE MUST MAKE $150
– everybody understands, and respects – the profit motive
GUARANTEE them 50 people (50 x $350 = $17,500 SO WE SHOULD BE FULLY COVERED)
ASSURE them that we usually get 70 – 80 so they should make $24 – 28,000.
OFFER to advance them $10,000 to cover the raw cost of the food.
ADVISE them to spend every cent of the $10,000 buying food so as to be able to feed 80 or more people – that’s where they will make their real profit.
WARN them that we WILL NOT PAY FULL PRICE FOR MEAGRE HELPINGS, so stretch the money at their own peril!!!
OH BY THE WAY DID I TELL YOU?
!!*DO NOT OFFER THEM $500/PERSON*!!
THEY WILL REGARD US AS IDIOTS, and TAKE FULL ADVANTAGE OF OUR IDIOCY!
And never forget to apply your own wisdom and judgement of a situation!
